Method and sources

The RFQ follows common procurement practice: one fixed specification, identical quantity tiers and a single Incoterm (Incoterms® 2020 rules, with the named place each rule needs) so every quote is priced on the same basis. The response table asks for the items that most often change the real cost: unit price per tier, one-off tooling, sample cost, lead times, MOQ, payment terms, loading port, carton data and HS code. Quality terms reference ANSI/ASQ Z1.4 (ISO 2859-1) at General Inspection Level II. Compliance lines cite the EU REACH Regulation (EC) 1907/2006, RoHS Directive 2011/65/EU, CE and UKCA marking, the EU Packaging and Packaging Waste Regulation (EU) 2025/40, FSC, OEKO-TEX STANDARD 100 and ISO 9001, plus, for US retail, FDA food-contact rules (21 CFR parts 174–186), California Proposition 65 and the CPSIA for children's products, and amfori BSCI or Sedex SMETA social audits. Optional case-pack fields cover inner and master carton quantities, carton size and gross weight, carton marks and GS1 barcodes (UPC-A or EAN-13 on retail packs, ITF-14 or GS1-128 on cartons).

What should an RFQ include?

A full specification with drawings, quantity tiers, the Incoterm and named place, packaging, quality standard, compliance needs, sample requirements, a response deadline and a table that tells the supplier exactly what to quote.

Why ask for quantity tiers?

Tiers show how the unit price falls with volume and where the supplier's MOQ sits, so you can pick an order size that balances price and stock.

Which Incoterm should I ask suppliers to quote?

FOB with a named port of loading is the most common basis for sea freight from India, China and Vietnam, because you keep control of freight. Ask every supplier for the same term.

What case-pack details should an RFQ include?

The retail packaging, units per inner pack and per master carton, carton size and maximum gross weight, carton marks and any barcodes. Suppliers price packing and freight from these numbers, so quotes stay comparable.

Which compliance should I ask for when selling to US retailers?

It depends on the product: FDA food-contact compliance for anything touching food, a California Prop 65 declaration for listed chemicals such as lead, CPSIA testing and a Children's Product Certificate for children's products, and often an amfori BSCI or SMETA social audit.

Should I share a target price?

Only if you know it is realistic. A credible target speeds up negotiation; an unrealistic one can lead to quiet cuts in material or quality. Leave the field blank to hide it.

Three to five qualified suppliers is usually enough to compare prices and capability without overloading your team.
